An example of a simple workflow would be routing A/P invoices to the manager responsible for approving the invoice.
Here's how you could host their workflow:
Your clients scan their invoices, over the Internet, to your server, using SearchExpress Browser Scan.
While scanning, they can route the invoices to different managers, by choosing the manager's name from a pick list.
Each manager uses their browser to see an "inbasket" of all invoices that await their approval.
The managers can indicate their approval by clicking the Approved button after reviewing the scanned invoice. They could also enter a cost code.
Or, instead of using a scanner, your clients can use a MFP copier to FTP images over the Internet to your Server.
In this case, they can enter the index fields from their browser using the SearchExpress Remote Data Entry program which prints a barcode for each document. They place this barcode sheet between each document in the stack of documents they place in their copier.

Here's One Way SearchExpress/Invoice Document Management Can Work:

  • You scan invoices received by mail.
  • You save emailed invoices directly to SearchExpress, without printing or scanning them, by using a Save-to-SearchExpress menu item in Outlook.
  • You can route the invoices to different managers, by choosing the manager's name from a pick list.
  • Each manager uses their web browser to see an "inbasket" of all invoices that await their approval. This can be done over intranet or the Internet.
  • The managers can indicate their approval by clicking the Approved button after reviewing the scanned invoice. They could also enter a cost code.
  • SearchExpress can share data with your AP system. For example, when you pay an invoice, SearchExpress can read the Date Paid and Check Number from your A/P database and write this data to the SearchExpress database.
  • Also, when you approve an invoice, SearchExpress can update your A/P system with the Approval Status and Cost Code, by reading this data from the SearchExpress database and writing it to your A/P database.
  • To search for invoices, you use your browser and type in the vendor name, invoice date, invoice number, check number, or other identifying information. User ID and password security is provided to ensure authorized access.
  • Also, you can search directly from any software application. For example, if you are in your A/P software, just highlight the invoice number and press a function key to perform a SearchExpress search and display the scanned invoice.
